Position Summary:
The Maintenance Clerk is an opportunity for a highly driven, detail-oriented and dependable individual. This role supports the Maintenance Department with invoice processing, purchase order tracking, vendor communication, fleet documentation, and administrative workflow tasks. This position plays an important role in maintaining accurate records, supporting month-end close requirements, and ensuring maintenance-related transactions are processed in accordance with company procedures and customer-specific requirements.
Essential Job Functions & Responsibilities:
- Process vendor invoices accurately and timely in the Transportation Management System (TMT).
- Review purchase orders, repair orders, receipts, and supporting documentation for accuracy and compliance.
- Communicate professionally with vendors to resolve invoice discrepancies, missing documentation, pricing issues, or billing concerns.
- Coordinate with Accounting to ensure invoices are approved and processed within required timelines.
- Maintain and update the Purchase Order report daily to support visibility, accountability, and month-end close requirements.
- Follow customer-specific Standard Operating Procedures (SOPs) for maintenance, invoice processing, documentation, and allowable billing terms.
- Track, record, and file receipts for maintenance-related purchases.
- Charge parts, materials, fuel, rentals, and other maintenance-related expenses accurately as needed.
- Process assigned maintenance workflow tasks, including fuel invoices, rental support, asset movement, invoice support, and other assigned items.
- Enter and validate mileage records in TMT for trucks and trailers as required.
- Maintain organized records for registrations, titles, inspections, and other fleet documentation.
- Provide administrative support to the Maintenance Department and assist with additional duties as assigned.
Qualifications and Experience:
- High school diploma or general education degree (GED) required.
- 2 + years of prior experience in maintenance administration, invoice processing, accounting support, transportation, logistics, or fleet operations preferred.
- Proficiency with Microsoft Excel, Word, Outlook, and related business systems.
- Familiarity with accounting, inventory tracking, maintenance, or transportation management software preferred.
- Strong organizational skills with the ability to manage multiple tasks, reports, and deadlines.
- Strong written and verbal communication skills, including the ability to work professionally with vendors, Accounting, and internal departments.
- High attention to detail and accuracy when processing invoices, purchase orders, receipts, and fleet documentation.
- Ability to follow established SOPs, maintain confidential business records, and meet recurring deadlines.
- Minimum typing speed of 40 words per minute.
Compensation:
- The pay depends on experience ($20.00/hour - $25.00/hour)
Schedule:
- Monday – Friday, 9AM – 6PM (Some weekends)
